This Data Retention Policy explains how long eTranslata LLC (“eTranslata,” “we,” “us,” or “our”) keeps the documents, translations, and records associated with your order, and what happens to them after that period. It supplements our Privacy Policy and should be read together with it.
Source Documents, Drafts, and Completed Translations
Files you upload for translation, drafts produced during the translation process, and completed translations are retained for 90 days after your order is completed, or, for quote requests that do not result in an order, 90 days after the quote request was submitted.
Before deletion, we send reminder emails so you have the opportunity to download your files or request an extension. This 90-day period applies uniformly to all projects, regardless of document type or language pair.
After the retention period, documents are deleted from our active systems according to our deletion procedures. Residual copies may remain temporarily in encrypted or access-restricted backups until those backups are overwritten or expire under our regular backup schedule.
Order and Billing Records
Records related to orders and billing — such as invoices, payment confirmations, and transaction details — are retained for 7 years from the end of the calendar year in which the transaction occurred, in order to meet our accounting, tax, and legal recordkeeping obligations. This retention period applies to the order and billing records themselves, not to the uploaded documents, drafts, or translations, which follow the 90-day schedule above.
Requesting Early Deletion
If you would like your documents deleted sooner than the standard 90-day period, contact us at privacy@etranslata.com. We will honor early deletion requests except where we are legally required to retain the information.
Exceptions to Standard Retention
We may retain documents or records longer than the periods described above when needed to:
- Resolve an active dispute, chargeback, or legal hold;
- Complete an active revision request tied to your order; or
- Comply with an applicable law, court order, or regulatory obligation.
In these cases, the relevant documents or records are retained only until the matter is resolved, after which our standard retention schedule applies.
