Our Human-Assured Quality Process
A disciplined, five-step process to help ensure accurate, consistent, and culturally appropriate education translations.
Scope & Terminology
We define your goals, audiences, languages, deadlines, and any preferred terminology or references before translation begins.
Professional Translation
A language professional translates the content with attention to educational meaning, audience, terminology, and document structure.
Native-Language Review
A language professional whose native language is the target language compares the translation with the source, word by word, for accuracy and clarity.
Visual & Auditory QA
A reviewer may use text-to-speech technology to listen to the translation while comparing the source and target documents. This supports the word-by-word review and helps identify missing or extra words, numbers, grammar issues, formatting differences, and other potential miscues.
Client Review & Final Delivery
You review and approve, then we deliver final files in your preferred formats.
For School District Procurement Teams
We support vendor registration and capability review, and welcome the chance to discuss RFIs, RFQs, RFPs, ITB/IFB solicitations, cooperative-purchasing inquiries, recurring translation-service needs, and other contract opportunities for school districts and educational institutions. Submission of information does not guarantee vendor approval, a contract award, or project assignment.

Frequently Asked Questions
Can an educator request a translation without a district-wide contract?
Requirements differ by institution. Individual educators or departments may submit a request for review, but purchase authorization, vendor registration, or additional approvals may be required first, depending on your district’s procurement process.
Can eTranslata respond to an RFI, RFQ, RFP, or bid invitation?
Yes. Contact our Vendor Relations team to start the conversation. We review the scope, requirements, and deadline of each opportunity before confirming participation — this is a separate process from placing an individual translation order.
Does vendor registration guarantee that eTranslata will receive projects?
No. Vendor registration and procurement inquiries are reviewed on their own merits and do not guarantee project assignment, contract award, or approval of any kind.
Can we provide our own terminology and previous translations?
Yes. Sharing existing glossaries, preferred terminology, or prior translations helps us stay consistent with your district’s established language, and we’re glad to incorporate them into a project.
Can you preserve the formatting of IEPs, evaluations, forms, and reports?
Formatting is preserved wherever reasonably possible, including common structures like tables and forms. Complex layouts are reviewed during quoting, since they may require additional formatting work.
How are student documents handled?
Access to project files is limited to the language professionals assigned to that work. Institution-specific confidentiality, privacy, and retention requirements can be reviewed and addressed during setup or contracting — we do not claim compliance with any specific regulatory framework or security standard unless it has been independently verified.
Do you offer languages other than English and Spanish?
We currently focus on English–Spanish translation. Institutions with other language needs are welcome to contact us to discuss.
How is pricing determined?
Pricing depends on document type, word or page count, formatting complexity, language pair, turnaround requirements, and overall project scope. Institutional or recurring pricing is discussed during procurement or contracting.
